A Collection of Best Practices for the Symbiant System
A Clean Divisional Structure #
When creating or editing your divisional structure always think about the best way to manage your departments,
Overcomplicating the structure can lead to headaches will data cleanliness,
The Best Structure is always the simplest, clearly defined groups, departments and subsidiaries go a long way to keeping a Clean Divisional Structure.

Appropriate User Roles and Divisions #
Ensure your users can only access what they need to, over-assigning users can be a fast approach but can lead to data spill (Where users who shouldn’t see certain data can)
Check over User Roles and Divisions regularly, we recommend Monthly, but depending on current projects, bi-weekly also works.
The User Details Report easily shows all your User Roles, Divisions and when they last logged in, no manual effort to go through each user in your System.
Ensure at Least One Admin Receives All Emails #
By default, the System Admins don’t receive Module Specific Emails, so as to not over-saturate their inboxes.
We Recommend at Least One System Admin receives all Module Emails (Or Split Multiple System Admins across the Modules)

Check Audit Logs Regularly #
It’s always good practice to check over Audit Logs Regularly (Monthly) as part of Data Integrity,
Checking can allow issues, errors and mistakes to be found and rectified easily.
Every Module comes with an Audit Report, detailed additions, changes and retractions when and by whom.

Check Attachment Storage Allowance Regularly #
Ensuring the System has plenty of remaining Attachment Storage by checking regularly is good practice
Checking can prevent errors when users attempt to attach files to records.
The System has an easy way to check the remaining Attachment Storage Allowance to prevent these errors before they happen.

Make Use of Report Filtering #
Reports can be filtered by every field in a Module, combined together and created like an expression,
Filters can be saved as Presets so other users can also easily access Filtered Reports.
Every Preset act as its own Filter (So no need to Duplicate Reports with a filter applied)

Make Use of System History #
The entire of your Symbiant System is time-aware meaning you can go back to a specific point and see exactly how it was,
which includes all records, data, graphs and even reports. Making use of the systems history function enables you
to easily see historical change as you can interact with the system as it was, with all functionality enabled.
