This Guide is for Importing Users Only!
Please note: These Rules must be followed, failure to do so, could lead to data loss!
The System has many safeguards to stop invalid imports, however, please be aware if these safeguards are bypassed forcefully,
It is very likely that data loss can occur, if you are in any doubt please Submit a Support Ticket and we can help you through the process.
Critical Import Rules #
1.) Data must be imported in a CSV (UTF-8) file format,
2.) Each Column represents one field,
2.1) Multi-Level data can’t be imported (Such as Reviews and Actions), due to the limitation of the CSV file format,
3.) Required fields must have data present for importing, (Account Name and Email)
4.) Ensure Email Addresses are unique, contain NO special characters and are in a valid Email Format,
Critical Note: Attempting to Import Non-Unique Email Addresses will cause an Error!
5.) Email Address Data is Case Sensitive ensure you correctly match cases, (I.e. John@company is different to john@company)
6.) Ensure Column Titles and Data have NO, commas, spaces or ANY special characters,
6.1) Ensure Free Text with Special Characters is using the (UTF-8) character set,
6.2) Copying and Pasting between Office Products can change special characters from the UTF-8 Standard,
7.) When Importing Records with Divisions ensure to use a / (Forward Slash) to separate each department level, for example, Symbiant/UK or Symbiant/UK/Sales,
7.1) Ensure to include the Root division, (I.e. Symbiant)
7.2)Don’t Include the Group Name, (I.e. Departments/Symbiant/UK)
9.) Ensure your User Account is allowed and assigned to the Division you are importing records into,
9.1) If you want to Import a record within the Division Symbiant/UK, your User Division Assignment must be within either Symbiant or Symbiant/UK,
10.) Ensure to declare the “Active?” status of all users, by default all imported users will be Active (Therefore taking a License Seat, unless specifically set as FALSE),
10.1) To set specific Users are Inactive when Importing, ensure to have a value of “FALSE” in their Row under the Column “Active?”.
Importing Multiple Roles and Divisions at Once #
Within the CSV Data Import, if required, there is an option to Import users with multiple Roles and Divisions,
This is done using a joining function character, in the CSV file, this character is a Pipe |
Importing Multiple Roles #
An Example of Multiple Roles is as follows:
Risk_Admin|Control_Admin
Please ensure no spaces between the Pipe Character and the Role Names are exact matches to the System.
Importing Multiple Divisions #
Symbiant/UK|Symbiant/EU
Please ensure no spaces between the Pipe Character and the Division Names are exact matches to the System.
