How to save a dashboard layout as a preset and share it with chosen users, roles or divisions, so they can load it from their own options menu.

Applies to: system administrators (admin role). Only administrators can save layout presets and share them. Module: any module with a dashboard (the example uses Incidents).

How Sharing Works #

A layout preset saves how the charts and grids on a dashboard are arranged, for example charts shown as tabs. When an administrator saves one, only that administrator can load it at first. Assigning it in Set up > Presets makes it available to other users, who load it with Layout > Presets > Load…. Users can’t save layout presets themselves.

Saving the Layout #

  1. Open the module and arrange the dashboard the way you want it. See Dashboard Layout Tools. In this example the charts are shown As tabs.
  2. Click the three dots (⋮) at the top right, then Presets under Layout (1), then Save… (2).

  1. Enter a Name (1). Names can’t contain spaces, so use a name such as IncidentChartsAsTabs.
  2. Click Save (2).

Sharing the Preset #

  1. Click the Set up spanner at the bottom left, then Presets (1) under System.
  2. Find your preset. Root shows which screen it belongs to (for example view-collection-incidents is the Incidents dashboard) and Path (2) is its name. Public? (3) shows a red cross while only you can use it.
  3. Click the preset to open it.

  1. Under Assignments, tick who should get the preset: Users (1), Roles (2) and/or Divisions (3). Use the search boxes to find them. In this example it is shared with the incident_manager role.
  2. Click Save (4).

Back in the list, Public? now shows a green tick.

Note: Assignments work as “or”: anyone who matches a ticked user, role or division gets the preset. Leave Admin Account (you) ticked so you can still load it.

What Users See #

  1. In the module, click the three dots (⋮) at the top right, then Presets under Layout (1), then Load… (2).

  1. Type part of the preset name in Search (1). The list can look empty until you search.
  2. Click the preset (2), then Load (3).

The dashboard is rearranged and a “Preset loaded!” message appears. The layout stays until the user leaves the module.

Setting Your Own Default Layout #

Administrators also see Set default under Layout > Presets. It asks “Are you sure you want to save the current view as your default?” and sets the current layout as your default for that dashboard. It doesn’t change anyone else’s. To change the dashboard for everyone, edit and save the view instead (see Editing a Dashboard Chart).

Removing or Unsharing a Preset #

  • To stop sharing, open the preset in Set up > Presets, untick the users, roles or divisions, and click Save.
  • To delete it, click the three dots (⋮) at the end of its row and choose Delete (2). View (1) opens it.
